You’ve drawn up a budget, gathered quotes, and everything seems to add up perfectly. Until, after the staff party, you see the final bill and can’t believe your eyes. Sound familiar? When budgeting for a staff party, things often go wrong because of hidden event costs you didn’t anticipate. Drinks flowing faster than expected, equipment you have to rent, extra staff that suddenly turns out to be necessary, or the sales tax you forgot to factor in. In this article, we’ll walk you through nine unexpected costs when organizing a staff party that can blow your budget—and, of course, how to prevent them!
1. Catering: drinks and late-night snacks
Catering always seems like the easiest part of your budget. You figure on a drink or three per person, a little something to eat on the side—done! But then the party gets going, and it turns out your team is really in the mood. Before you know it, glasses are flying across the bar, and your drink budget is already gone after just two hours. Alcoholic beverages, in particular, can seriously blow your budget, and that’s often because you didn’t properly assess the difference between an open bar and drink vouchers.
With an open bar, everyone drinks as much as they want, which is fun but also pricey. Drink vouchers give you more control, but they can also lead to disappointment if people run out of drinks halfway through the evening. And then there are the late-night snacks that you’ve probably completely forgotten to include in your initial quote. Around 11 p.m., when energy starts to wane and stomachs start to rumble, bitterballen or grilled cheese sandwiches aren’t a luxury—they’re a must to keep the party going.
When organizing a staff party, always plan for more drinks than you think you’ll need. A safe rule of thumb: four to five drinks per person for a four-hour evening event, and be sure to include a late-night snack after three hours of partying. Your team will thank you, and you’ll prevent people from leaving too early or drinking too much on an empty stomach.
2. Facility costs not included in the rent
You find the perfect location, see a rent that fits your budget, and think: Yes, it’s all set! But then the quote arrives, and suddenly you see a whole list of extra costs that weren’t included in that attractive base price. Cleaning fees, security deposit, mandatory security, extended rental period for setup and takedown, energy costs for heating or air conditioning. Before you know it, you’re paying fifty percent more than that initial rental price suggested.
Many venues also charge for extra hours for setup and takedown. You might rent the space from 7:00 p.m. to 1:00 a.m., but your vendors need to be able to start setting up decorations and equipment as early as 3:00 p.m. Those extra hours? You’ll still have to pay for them. And don’t forget that some venues require you to use their own security or bar staff, which you also can’t negotiate.
Therefore, always request a detailed quote that lists all costs. Check whether setup and takedown time is included, what the cleaning fees are, and whether a security deposit is refundable. When organizing a staff party in Amsterdam, these additional costs are often higher due to the popularity of venues, so plan for a 20 percent buffer on top of the base rental price.
3. Transportation and Parking Facilities for Guests
You’ve found a great venue just outside the city—stunning views, perfect atmosphere. But how will your coworkers actually get there? And more importantly: how will they get home safely after an evening of drinks? Transportation costs are one of the most overlooked expenses when planning a staff party, but they can add up significantly and are truly important for your team’s safety and comfort.
Think of shuttle buses from a central location, reimbursement for taxi fares for guests who’ve been drinking, or parking fees if people do come by car. In Amsterdam and other major cities, parking fees are always an issue, and if your venue doesn’t have its own parking lot, you can expect to pay ten to fifteen euros per car. That really adds up for a group of fifty people, half of whom drive.
A smart solution: arrange shared transportation both to and from the event. Not only is this safer and more sustainable, but it also creates a fun group atmosphere even before the party starts. For a shuttle bus, expect to pay about three hundred to five hundred euros per trip, depending on the distance. For taxi reimbursements, you can set a maximum amount per person, such as twenty-five euros. This way, you keep the costs of the company party under control and ensure that everyone gets home safely.
4. Equipment and AV gear you need to rent
Your venue looks fantastic, but when you ask about sound, lighting, or a projector for a presentation, it turns out that none of these are provided as standard. Welcome to the world of technology and AV equipment—an expense that’s often completely underestimated when budgeting for a staff party. A decent sound system, microphones for speeches, screens for visuals, mood lighting, maybe even DJ equipment—it all has to be rented.
And then there’s the technician. After all, who’s going to install, operate, and troubleshoot all that equipment if something goes wrong? You’re not going to do that yourself, unless you have a background in event technology. A technician can easily cost 150 to 250 euros per hour, and you’ll need him or her throughout the entire setup, the event itself, and the teardown. Add the rental cost of all the equipment to that, and you’re looking at an extra 1,000 to 2,000 euros in no time.
When requesting a quote, always ask explicitly what is included as standard at the venue. Some venues have a basic sound system and projector, while others have nothing at all. Also check whether you’re allowed to use your own vendors or if you have to work with the venue’s regular tech partner, since the latter is often more expensive but sometimes mandatory.
5. Decor and styling to create the right atmosphere
An empty room with a few tables and chairs is functional, but not exactly festive. Decorations and styling make the difference between “we’re just hanging out” and “wow, what an amazing party!” But that transformation comes at a price. Flowers, table decorations, themed elements, welcome signs, a photo booth with props—it all adds up quickly if you want to create a genuine atmosphere that fits your company and the evening’s theme.
A simple table centerpiece can easily cost thirty to fifty euros each. Multiply that by ten tables, and you’re already looking at three hundred to five hundred euros. Add a welcome sign, some balloons, themed decorations, and maybe a photo booth, and before you know it, you’re looking at two thousand euros or more. And that’s not even counting custom branding with your logo or a fully styled venue.
Still, this is one area where you shouldn’t skimp too much, because the decor sets the first impression and the entire atmosphere of the evening. People remember how a party felt, and that feeling is largely determined by how the space looks. Work with a stylist or event planning agency that knows how to make an impact even on a realistic budget. And always ask whether the decorations are reusable or if you’ll have to buy everything.
6. Required Insurance and Permits
It’s not the most exciting expense, but it’s one you really can’t skip: insurance and permits. Think of event insurance and liability insurance to cover you if something goes wrong, permits for music or alcohol if your venue doesn’t have them, and BUMA/STEMRA fees if you’re featuring live music or a DJ. These administrative costs often don’t become clear until late in the process, but they’re absolutely mandatory.
Event insurance costs between 150 and 300 euros, depending on the number of guests and the nature of your event. BUMA/STEMRA fees for music use start at about 100 euros for a private party. And if your venue doesn’t have a liquor license and you want to serve alcohol, you’ll need to apply for one separately, which costs both time and money.
Check with your venue to see what’s already been arranged in terms of permits and insurance. Some venues already include these in their package, while others do not. And even though it may feel like a waste of money because you hope you won’t need it, insurance is your lifeline if something does go wrong. From damage to the venue to an accident involving a guest, you don’t want to be left holding the bill.
7. Staff and service personnel during the party
A successful party depends on the people working behind the scenes to keep everything running smoothly. Bartenders who keep pouring drinks, coat check attendants who take coats, cleaning staff who keep the place tidy, security who ensure everything stays safe, and perhaps hosts or hostesses who guide guests. All of these staff members cost money—and often more than you might think, since you need a minimum number of staff to keep everything running smoothly.
For bar staff, you should plan on about one person per fifty guests, at an hourly rate of twenty-five to forty euros. So for a party of one hundred people with a four-hour open bar, you’ll easily spend four hundred to six hundred euros on bar staff alone. Add security, coat check, and possibly hosts to that, and you’re looking at 1,000 euros or more for staff.
But this is money you really need to invest, because having enough staff makes the difference between a stressful evening where people have to wait a long time and a smooth party where everything runs like clockwork. No one wants to wait ten minutes in line for a beer, and no one wants to lose their coat because there’s no coat check. Get this right, and your guests will notice the difference right away.
8. Last-minute changes and additional guests
You’ve carefully planned everything for fifty guests, but a week before the party, it suddenly turns out that fifty-five people are coming. Or someone has a food allergy you didn’t know about, and you have to adjust the menu. Or the party is going so well that everyone wants to stay for another hour. Last-minute changes are almost inevitable when organizing a staff party, and they always come with a price tag.
Extra guests mean not only extra catering, but also extra chairs, tables, decorations, and refreshments. And because it’s last-minute, suppliers often charge a surcharge. You’ve received all the quotes, added everything up, and thought: Perfect, we’re within budget! Until you realize that all prices are exclusive of VAT. That 21 percent VAT, which is applied to virtually all costs, can increase your total budget by thousands of euros. And then there are often service fees of 10 to 15 percent that suppliers charge, plus any administrative fees.
Imagine this: your budget is 10,000 euros, and you think you’ll make it work. But then 21 percent VAT is added on top of that, so that brings the total to 12,100 euros. Add another 10 percent in service fees to that, and you’re suddenly at 13,300 euros. That’s more than 30 percent over your original budget, just because of surcharges you might have forgotten to factor in.
So be sure to check with every quote whether the prices include or exclude VAT. Ask explicitly about service fees, administrative fees, and other surcharges. And always base your budget on the final price, including all taxes and surcharges. That way, you’ll avoid a financial hangover after what should have been a great party.
